Apps & team
Manage your apps, App IDs, identity verification, organization, and teammates in Reception. This guide explains where settings live, what Owners and Agents can do, and how switching or deleting an account affects your team's data.
Organizations, apps, and accounts
An organization is the shared workspace for a team. It contains apps, registered devices, conversations, and memberships. An app is a separate support project with its own public App ID, integrations, and chat appearance. Your account is your personal dashboard login; it can belong to more than one organization, with a different role in each.
Sign in using Continue with Google and a verified Google email address. On your first sign-in, Reception normally creates an empty personal organization and makes you its Owner. If your email has a valid pending invitation, the welcome page lets you join the invited team or create your own organization instead.
Apps in one organization share its team. There are no per-app member assignments or permissions. Use separate organizations when teams need separate access; selecting an app in the sidebar only filters the current view.
Find the right settings
Open Settings in the sidebar. The current tabs are General, Organization, Billing, and, for Owners, Apps.
| Location | What you manage |
|---|---|
| Settings → General | Your profile, dashboard appearance, browser notifications, Important fields, sessions, and account deletion. |
| Settings → Organization | Organization name, members, invitations, organization switching, and organization deletion when available. |
| Settings → Apps → an app | App name, icon, App ID, identity verification, chat appearance, integrations, and app deletion. |
| Settings → Billing | Estimated revenue, payment methods, and statements. See Pricing & billing. |
Create and connect an app
You must be an Owner in the current organization.
Open Settings → Apps → Add app, or choose Add app from the sidebar app selector.
Enter an app name. Names are required, trimmed, and limited to 100 characters. First-app setup also offers an optional icon; the compact New app dialog asks for the name only.
Create the app to generate its App ID and open setup.
In Connect, use Copy setup prompt with your coding agent, or Set up manually for the package and configuration instructions. Follow Get started to integrate ReceptionKit.
Send a real message from the app. Setup shows the connected conversation and lets you reply. Registering a device alone does not complete this step.
Choose Continue for optional Apple Push Notifications, Telegram, and App Store Reviews configuration, then Continue to Revenue.
The Revenue step connects your App Store Connect account with a Sales and Reports key. You can set it up later or go to the inbox. See Connect revenue.
Setup fills in your App ID. Give each app its own ID. Set up later opens app settings, where Connect your app lets you resume until the first conversation arrives. Use the setup prompt again for an existing app; you do not need to create another app.
Change an app name or icon
Open the app in Settings → Apps, edit its name, and save with Enter or the checkmark. Renaming keeps the same App ID.
Select its icon to choose or remove an image, then Save. Use non-animated PNG, JPEG, or WebP up to 5 MB and 25 megapixels. A square image works best; other shapes receive transparent padding. This dashboard icon does not change the installed iOS app icon.
Copy the App ID
In app settings, find App ID under Setup and copy it into the ReceptionKit configuration for that app.
The App ID is public and intended to be embedded in your app. It selects the app without granting dashboard access or revealing conversations. It never changes and cannot be regenerated.
To accept messages only from signed-in customers, use identity verification. If your app cannot connect, copy its complete setup snippet again and check that you selected the intended app. See Troubleshooting.
Manage identity verification
Owners manage identity verification in the app's settings under Identity verification:
Select Reveal to show your app's identity secret (
ids_…). Store it on your server, never in the app. Copy setup prompt gives your coding agent the integration instructions, and Add it to your server shows where to store the secret. The section shows when the last user was verified.Regenerate secret replaces the secret after a confirmation. Tokens signed with the old secret stop working immediately. Verified users stay verified, unless you also select Also mark existing users as unverified, which is the right choice if the secret leaked.
Only verified users can chat lets only verified users send messages and photos. You can turn it off at any time.
There is no action to remove the secret. See Identity verification to connect your server and app.
Configure appearance and integrations
Each app has independent settings:
| App settings section | Purpose |
|---|---|
| Chat appearance → Customize | Edit and publish remote chat appearance. Local Swift customization is documented under Appearance. |
| Integrations → Apple Push Notifications | Configure the bundle identifier and Apple credentials, notification content, and optional device testing. See Push notifications. |
| Integrations → Telegram | Connect a bot and destination chat, pause or resume notifications and replies, test, or disconnect. See Telegram. |
| App Store Reviews | Set the numeric App Store ID and localized review templates. See Review requests. |
The bundle identifier is configured in Apple Push Notifications; it is not required to create an app. Confirm push delivery on a real device and follow the Telegram guide to verify replies. Saving review settings does not send a request.
Paywall cards are registered by your iOS app. Chat actions in app settings reports review and paywall sends and opens. For your organization’s fee, use Revenue connection and Billing.
Work with multiple apps
Choose an app in the sidebar to filter Inbox and Users, or All apps for the current organization. Switching app scope clears search and conversation filters. It keeps Users open when you are already there; otherwise it opens Inbox. See Inbox & customers.
Team roles
Open Settings → Organization to see members and pending invitations. Each member has one of two roles within that organization.
| Capability | Agent | Owner |
|---|---|---|
| View Inbox and Users across the organization's apps | Yes | Yes |
| Reply, send review or paywall cards, resolve or reopen conversations | Yes | Yes |
| Set team names and block or unblock devices | Yes | Yes |
| View members and pending invitations | Yes | Yes |
| Manage personal profile, preferences, and sessions | Yes | Yes |
| Create, configure, or delete apps; manage identity verification | No | Yes |
| Invite members, change roles, remove members, revoke invitations | No | Yes |
| Rename or delete the organization | No | Yes |
| Reset support or permanently delete a device | No | Yes |
Agents do not see the Apps settings tab or Add app controls. See Privacy and data for the scope of device reset and deletion.
Invite a teammate
As an Owner, open Settings → Organization → Invite member.
Enter the teammate's email and choose Agent or Owner. Agent is the default.
Select Create link, then copy the invitation link.
Share the link with the teammate yourself. Reception sends no invitation email.
The teammate opens the link, signs in with the invited email, and selects Join organization.
Links expire after seven days. Owners can copy or revoke pending invitations. Inviting the same email again replaces the old link, so share the new one.
Recipients must sign in with the invited email. For invalid or expired links, ask an Owner for a new invitation. Pending invitations also appear in Settings → Organization, or on the welcome page for new users.
Change roles, remove members, or leave
Owners use the menu beside a member to select Owner or Agent, or choose Remove member and confirm. Removing someone revokes their access to this organization; it does not delete their personal account or the team's conversations. An Owner can invite them again later.
An organization must retain at least one Owner. The last Owner cannot be demoted or removed. Promote another member first.
When another Owner remains, you can demote yourself or choose Leave organization from your own member menu. Leaving preserves your account and the team's data. Agents have no member-management controls; an Owner must remove their membership.
Name or switch organizations
In Settings → Organization, Owners can edit the organization name (up to 100 characters). Your organizations appears if you belong to several; select Switch to open another organization’s Inbox with your role there.
Switching does not move apps or conversations. If an app link is unavailable, check the selected organization and your membership.
Personal account settings
Open Settings → General for your own settings.
Profile
Select your name to edit it and save with Enter or the checkmark. Your email is read-only. Select your profile photo to upload, change, or remove it. Profile images accept non-animated PNG, JPEG, or WebP up to 5 MB and 25 megapixels; they are cropped to a square. Reception manages profile-photo storage. If an upload remains unavailable after retrying, contact the Reception team.
Dashboard appearance and notifications
Appearance offers System, Light, and Dark for this browser. Set the customer chat’s appearance separately in app settings.
Notifications and sound alerts you to new messages while Inbox is in the background. Grant browser notification permission when prompted; if denied, change it in browser settings. These alerts are separate from customer push notifications.
Important fields
Choose and reorder the fields shown first in customer details, then save. Follow Configure Important fields for built-in and custom metadata fields.
Sessions and sign-out
Sessions lists your active logins. Sign out a selected session or all other sessions. The sidebar profile row signs out the current login.
Deletion and safeguards
Delete an app
An Owner can open the app's settings, choose Delete app, and enter its exact name. The app disappears immediately and its App ID stops working, so installed versions of your iOS app can no longer chat. A new app gets a new App ID, which needs an app update. Its devices, conversations, messages, and images are deleted. Old Telegram notifications can no longer receive replies. There is no restore action.
Deleting an app leaves your account, organization, and other apps intact. Fees already incurred remain payable, and billing records are retained. See Privacy and data for cleanup scope and limits.
Delete an organization
Owners use Settings → Organization → Delete organization and confirm the exact organization name, or delete if it is unnamed. All members lose access and all of its apps and support data are deleted. Personal accounts and other organizations remain. The organization becomes unavailable immediately.
If you belong to just one organization and are its only member, the separate Delete organization action is hidden. The account deletion flow handles the account and organization together.
Delete your account
Open Settings → General → Delete account. Review the affected organizations and enter your email to confirm; surrounding spaces and letter case are ignored.
Organizations where you are the only member are deleted with their apps and support data. To preserve one, invite another Owner and have them accept before deleting your account.
Shared organizations keep their content and other members, including your existing replies. If you are the only Owner of a shared organization, promote another member before continuing.
Your login, sessions, memberships, and invitations you sent are removed. You return to the login page.
If the confirmation reports that memberships or affected apps changed, reload General settings and review the scope again.
Billing and limits
See Pricing & billing for the shared allowance, fee, payment methods, statements, and billing notices. Owners connect providers in Settings → Apps → your app → App Store Revenue; follow Connect revenue.
Customer subscription metadata in the inbox and paywall cards are separate app integrations. Billing state does not prevent account or organization deletion.
